Virtual Assistant Program


Designed with the busy author in mind, my Virtual Assistant (VA) program is perfect for those who would rather focus on writing than the daily, weekly, and monthly tasks associated with marketing their brand.

Why take the plunge and select a retainer program?

  • Peace of mind – You (and I) can plan for the month ahead. Coordinating our schedules to accommodate your sales, design work, email newsletters, etc. up front allows you to focus on your work-in-progress knowing that your books are still being placed in front of readers.
  • Discounts – You receive a discounted rate compared to my normal freelance fees. The more hours you commit to, the lower the hourly rate.
  • Finances made easy – You pay a set amount each month for the length of the retainer contract based on the package you have selected.
  • Minimize the paperwork – Eliminate multiple contracts to sign and invoices to track on a per project basis.
  • Guaranteed time on my calendar – Simply put, a retainer is a monthly fee that allows you to pre-pay and reserve my time each month.

Author VA Retainer Details:

  • To start, a 3 month minimum commitment is required. At the end of your initial commitment, we will re-evaluate the program you had selected to ensure the number of hours blocked on my calendar are fitting your needs. At that point, we can move to 6, 9, or 12 month commitments.
  • Each retainer includes a predetermined number of hours each month. Time spent beyond this number will be billed at the standard hourly rate of $35 per hour.
  • Unused hours do expire. They will not roll over to the next month as that would defeat the purpose of selecting a specific retainer package. Should we come close to hitting that limit, I will let you know before going over.
  • A detailed invoice will be sent each month outlining the projects worked and time spent on each.

What type of services are included in the Author VA Retainer program?

  • Digital Materials – Social media graphics, website/blog banners, book teasers, review teasers, 3D book renders, sales, ads, etc. (Book covers not included, but authors on retainer receive 25% off cover design)
  • Print Materials – bookmarks, book plates, postcards, book info sheets, and banners (Cost of printing not included and will be billed separately.)
  • Email Marketing – Maintenance and facilitation (setup not included)
  • General Website Maintenance/Content Management – Formatting blog posts, adding new books, sales images, etc. (initial website design/redesign not included)
  • Social Media – Create and schedule regular social media posts, maintain accounts/pages/groups, respond to comments and messages, etc.
  • Street Team Management – Regular interaction and faciliation of your street team on Facebook.
  • Additional services are added regularly and also available upon request.

Are there other benefits to being a retainer client?

Of course there are!

  • Exclusive Review facilitation/Reveals/Tours/Etc. – Includes listing(s) on the Read & Review Shelf, a weekly check for new reviews plus master reviewer/blogger list management, organize all of your tours and events using this list, and find new to you reviewers/bloggers. 50% off standard prices.
  • Website design/redesign, book cover design, and initial newsletter setup. 25% off standard prices.
  • An affiliate/referral program is available for any interested parties. For all authors referred by you who purchase a la carte services via (graphics, pre-designed book covers, and promotional tours and events), you will earn 10% of their total. At any time, you can tell me to use this against your next month’s bill. Coupon codes can be created for your special events also.

Is there anything you won’t do?

Yes, and thank you for asking!

  • I do not do mass posts in the promo groups on Facebook. I have not found an efficient way to do this and make it worth your time or mine. (This is what your Street Team or Reader Group Challenges are for.)

How does the Author VA Retainer Program work?

  1. Fill out the quick form below. We’ll set up a free 30-minute phone consultation so I can learn more about you and get to know each other a bit. I want to learn all about your books, writing process, schedule, and goals. We’ll do a quick overview of your VA  needs and expectations and upcoming projects at this time also. The retainer program is for repeat clients, so if we haven’t worked together yet, let’s start with a blog tour or Read & Review Shelf listing.
  2. Initial payment. Once the i’s are crossed and t’s are dotted (yes, that was on purpose) and the first retainer fee is paid, we will schedule our first detailed planning call to discuss sales, book anniversaries, birthdays, new releases, etc. and build a plan for the following month. A shared Google Calendar will be created to allow us to stay on the same page and track time spent on each project as well as time remaining. VA tasks scheduled in advance to accommodate both of our schedules and eliminate last minute “Oh nos” and rushing to get things done (unless we come up with a brilliant idea). Prior to the 2nd month, we will have a conference call or video chat to review the next month’s priorities. Payment for the coming month will be due on the 1st of each month.
  3. Repeat. Each month, the process will repeat for the remainder of the retainer program you have chosen.
  4. Reevaluate. At the end of your contract, we will review your program to see if it is necessary to adjust the number of hours reserved each month before signing again!
